Introduction

Creating and sending email marketing campaigns in AiTrillion helps you engage customers, promote products, and drive conversions effectively. With powerful campaign tools, ready-to-use templates, and advanced targeting options, you can design, schedule, and deliver emails to the right audience at the right time. This article walks you through the steps to create and send email marketing campaigns efficiently using AiTrillion.

NotesNote: It is very important to have a complete DKIM and DMARC setting done before you start sending campaigns.

Make sure your DKIM and DMARC setting is set to send bulk emails through your email domain.

Here are the steps to create & send Email Marketing campaigns:

Step 2: Click on the Create button at the top right corner or you can click on the campaign name if the template has already created.

Note: There are 2 ways you can create and send the email campaign:

A. If you click on the Create button, you will get 2 options:
  1. Choose pre-made template: This option will allow you to select the pre-made template or create the template from Scratch. To learn how to create a email template, Click here.




  2.  Choose message template: This option allows you to select an email template that was created in a workflow.




    2.  Click on Campaign name: When you click on the campaign name, the email template that was saved during creation will open. While creating the email template, you can choose if the email campaign has to be created or not.






Step 3: Fill in the Campaign details:

Campaign Name: Enter a unique name for your campaign. Used for internal identification only.

Subject: The email subject line that recipients will see in their inbox. A compelling subject line improves open rates. Avoid excessive promotional words to reduce spam filtering.

Shortcode: Allows you to insert dynamic content into your email. Shortcodes automatically replace placeholders with customer-specific data (e.g., name, email). Optional but recommended for personalization.

Include Audience: Select who should receive the campaign:
  • Choose list – Send the campaign to a saved customer list

  • Choose segment – Send the campaign to customers matching specific conditions

You may select both a list and a segment.

Exclude Audience (Optional): Exclude specific lists or segments from the campaign. Useful when you want to avoid sending emails to certain customer groups.
Fetch Audience: Fetches and calculates the final recipient count after applying inclusion and exclusion rules.
Clear: Resets all selected audience settings.
Sender’s Email Address: The email address from which the campaign is sent. Must be a verified sender email. Using a verified business email improves deliverability.
Sender’s Name: The name recipients see as the email sender. Use a recognizable brand or a person's name to build trust.
Reply-To Email: The email address where replies will be delivered. Must be valid and monitored.
When to Send: Choose when the campaign should be delivered:
  1. Send Now: Sends the campaign immediately after confirmation.
  2. Schedule: Schedule the campaign to be sent at a future date and time.
  3. Keep in Draft: Save the campaign without sending it.

Custom UTM Parameters (Optional): Add UTM parameters to track campaign performance in analytics tools like Google Analytics. Helps measure traffic and conversions from email campaigns.

Send a Test Message: Sends a test email to your address. Recommended before sending the campaign live.

Create A/B Test (NEW)
  • Create multiple versions of your email to test subject lines or content.

  • AiTrillion sends the winning version based on performance.




Warning
Note: Before you send the campaign, you will get the warning message. If some audience are missing while fetching the customers, it might be the following reasons:
1.) The customers are not marked as active customers: To check/mark customers as active or inactive, click here.



2.) Email marketing subscription is not available, or the setting to send emails only to those who accept marketing is enabled. To check if the email marketing subscription is available or not, Click here. To check if send email to accept marketing is enabled or not - Click here.

Step 5: Choose the "when to send" option. This is also what you would use to send yourself a test email.



NotesNote :

1. All emails will have an unsubscribe link in them by default when they are sent.

2. Your first campaign will go through a security review with a maximum clearance time of 24 hours, unless there is an issue. You can email support@aitrillion.com
for a faster clearance of the review.


Now, the email will be sent to the customers



Important Notes:

  1. Ensure your email domain is properly authenticated (DKIM, and DMARC) before sending campaigns to improve deliverability.
  2. Always verify the sender’s email address and reply-to email to avoid delivery or reply issues.
  3. Carefully review the subject line, as it directly impacts email open rates.
  4. Use saved templates to maintain consistent branding across campaigns.
  5. Audience size may be smaller due to unsubscribed users, suppressed contacts, or excluded lists/segments.
  6. Always click Fetch audience after selecting include and exclude conditions to ensure accurate targeting.
  7. Use Exclude audience to prevent sending emails to internal teams or test users.
  8. Send a test email before launching the campaign to verify layout, links, images, and personalization.
  9. Once an email campaign is sent, it cannot be edited or recalled.
  10. Use Custom UTM parameters to track campaign performance in analytics tools.
  11. A/B testing helps optimize subject lines and content—use it before sending to a large audience.
