Use the email marketing template in the Workflow

Introduction

Using an email marketing template within a workflow helps you streamline your communication and maintain consistency across your campaigns. Once your template is created, you can easily integrate it into automated workflows to send targeted messages based on customer actions, events, or conditions.

In this article, you’ll learn how to use an existing email marketing template in a workflow, enabling you to automate your emails efficiently while delivering timely and personalized messages to your audience.

Here are the steps to use the email marketing template in the Workflow:




Step 2A menu will appear in the right corner. Click on Clone from Email Marketing Template.



Step 3: A pop-up will appear. Click on the Saved tab, hover over the template you want to use in the workflow, and click the Use Now button.


Step 4: Edit the template as per your needs and click on Save & exit button.
IdeaNote: Some shortcodes that work in email campaigns may not work in workflows. To check which shortcodes are supported, click here.




Step 5: A pop-up will appear, give a name to the template, enter the subject for the template which will be sent through workflow, you can also add custom UTM parameters, and click on the Save & exit button.




Now, the template has been successfully cloned into the workflow. You can check the template by visiting Workflow automation >> Email message


Now, the workflow emails will be sent to customers once they enter the trigger. To use the email template in the workflow, click here.


Important Notes

  • Ensure that the email marketing template is already created before attempting to use it in a workflow.
  • Use the “Clone from Email Marketing Template” option to reuse existing templates efficiently.
  • Note that some shortcodes used in email campaigns may not be supported in workflows—verify compatibility before use.
  • Always review and update the template content after cloning to ensure it fits the workflow context.
  • Double-check that the correct template is selected before connecting it to the workflow action.
  • Ensure all required fields such as subject line and sender details are properly configured.
  • Save the template after making any changes to avoid losing updates.
  • Make sure the workflow is active, otherwise emails will not be sent.
  • Regularly review and update templates to maintain relevance and performance.
