Introduction

Monitoring the performance of your WhatsApp templates is essential to ensure your messages are being delivered and engaging customers effectively. The WhatsApp Template Report provides detailed insights into key metrics such as sent, inbox (delivered), and message status, helping you understand how your communication is performing.

With this report, you can track message delivery, identify potential issues, and optimize your messaging strategy. It enables you to make informed decisions and ensure that your WhatsApp campaigns are reaching customers successfully and driving better engagement.


Here are the steps to check the WhatsApp template report for Sent, Inbox, and delivered messages:



Step 2: Click on the Saved tab and click on the Report icon.

Note: The report icon will only be available for the approved template.





Now, you will be able to see the WhatsApp template report sent to the customers



The available reports and filters are:

Type Filter (All Types / Inbox / Test / API): This dropdown lets you filter reports based on where the messages were sent from:
1) All Types
  • Displays combined data from all sources
  • Includes Inbox, Test messages, API, Campaigns, etc.
  • Best for getting an overall performance summary
2) Inbox
  • Shows messages sent via one-to-one chat (Team Inbox)
  • Useful for analyzing manual conversations with customers
  • Helps track engagement in real-time interactions
3) Test
  • Displays data for test messages only
  • Helps verify:
    • Template formatting
    • Delivery status
    • Read and click behavior before going live

4) API
  • Shows messages sent via API integrations or automation
  • Useful for tracking:
    • Automated workflows
    • System-triggered messages
  • Helps monitor performance of backend or third-party integrations

Overview vs Recipient Activity

Overview Tab
  • Provides aggregated metrics such as:
    • Sent vs Delivered
    • Delivered vs Read
    • Read vs Clicked
  • Includes:
    • Delivery rate
    • Read rate
    • Click rate


Recipient Activity Tab
  • Shows individual-level data
  • Helps you track:
    • Which customer received the message
    • Delivery and read status per user


Performance Metrics Explained
  • Sent: Total messages sent
  • Delivered (Inbox): Messages successfully received by users
  • Read: Messages opened by users
  • Clicked: Users who interacted with links
  • Failed: Messages that could not be delivered
  • Total Orders / Revenue: Conversions from the message (if applicable)

Delivery Failures Section
  • Displays failed messages (if any)
  • If messages are sent but not delivered, possible reasons include:
    • Invalid phone number
    • WhatsApp restrictions
    • Template issues
    • User not available on WhatsApp 


Important notes

  • The WhatsApp template report is available only for approved templates.
  • Data shown in the report depends on the selected filter type (All Types, Inbox, Test, API).
  • Use the Test filter to validate template performance before sending messages to customers.
  • The Inbox filter reflects one-to-one conversations, while API shows automated or integration-based messages.
  • Metrics such as delivery, read, and click rates may vary based on user activity and WhatsApp policies.
  • A high delivery rate does not guarantee reads or clicks—monitor engagement metrics for better insights.
  • If messages are not delivered, check for invalid numbers, template issues, or WhatsApp restrictions.
  • The Recipient Activity tab provides detailed, user-level insights for troubleshooting.
  • Reports may not update instantly; allow some time for the data to reflect accurately.
  • Regularly reviewing these reports helps in optimizing messaging performance and improving customer engagement
